Your guide to fixing photocopier issues

Hand’s up... if you’ve ever felt compelled to throw the photocopier out of the window before/ during/ after it misbehaved and frustrated the hell out of you?

Then, a sobering realisation took place that the photocopier is actually a pretty (very) heavy piece of equipment and any attempt to do this would be an utterly ridiculous idea and could result in significant office embarrassment. We’ve all been there!

To avoid these potential situations and save you future embarrassment; we’ve put together a useful guide of the common challenges you will be faced with relating to photocopier, these span from the most basic everyday tasks through to more complex error code faults - the ultimate goal being that you and your team reduce downtime created by the photocopier and increase productivity.

Replacing supplies (toner’s and ink cartridges)

Replenishing the supplies is a simple task every user should be able to complete without disruption.. right? The first step is to ensure you have identified the correct consumable that needs to be replaced, most business grade photocopiers take four separate toners (Mono, Cyan, Magenta and Yellow), the machine interface will display which particular colour is running low, the consumable must be specific and compatible* to the manufacturer model detailed on the front of the print device.

*Important Note: We strongly recommend using OEM (Original Equipment Manufacturer) supplies. Whilst you will benefit from a discount using ‘non-genuine’ or ‘compatible’ supplies, ultimately the discount tends to be short lived. The negative connotations from using cheaper toners or ink cartridges can include voiding the manufacturer warranty of the device, the yield and capacity of the supplies being much lower - meaning you get far fewer prints and also poor image quality.

Once you have identified the correct replacement consumable, the next stage of the process is to remove the empty toner. Generally speaking with a laser device you twist/turn the old toner counter-clockwise to the ‘unlocked position’ and then pull the toner towards you. In the event of ink cartridges, check for any release lock securing the cartridge (these are usually a deliberately obvious colour), if there isn’t any release mechanism, then simply pull the cartridge towards you releasing the supply from the device. It’s worth taking care with the ‘opening area’ of the used toner bottle or ink cartridge as often there may be some toner still remaining that you wouldn’t want to spill! The old toner or cartridge should then be disposed of and recycled in the correct environmentally friendly manor.

The final step is to insert the new, replaceable consumable into the photocopier, turning clockwise back into the locked position or for ink cartridges, simply pushing into place. Once done, close the front panel and the photocopier should automatically recognise the new toner or ink cartridge and you are good to go!

Changing waste toner boxes & maintenance boxes

Why do photocopiers have waste toner boxes and maintenance boxes? Every time a print job is carried out, there is a small amount of toner residue left on each of the drums, this toner residue has to be cleaned off in advance of the next print job. The function of the waste toner box is to collect and store all of this waste toner residue. Over time, the residue physically builds up within waste toner box and will reach a maximum capacity and be in need of replacement.

Generally speaking waste toner boxes usually operate in a similar fashion to a cartridge type system. Dependent on the manufacturer, there may be a plastic clip to remove before fitting. Often, you are able to simply push the waste toner into place, secured by two clips either side. The removal process is just as simple, squeeze the clips which are usually visually obvious in a different colour, then pull the waste toner box towards you.

Useful Tip

Changing waste toner boxes can be a messy business if you’re not careful! Whilst removing the waste toner box, it’s important to keep the box as level as possible to ensure you do not spill any toner from the box. The replacement waste toner box should be supplied with a waste bag and a pair of gloves for you to use, in addition, you are able to re-use a ‘plug’ from the new waste toner to avoid spillage. In the event that toner is spilt on a carpet surface, its worth noting that toner can only be hoovered up by a particular type of hoover, with a specific type of filter.

Paper Jams

Annoyingly, paper jams are a common issue for photocopying equipment. Todays photocopiers have come on leaps and bounds in terms of providing intuitive diagnostics. Most new, latest generation photocopier technology will show you the exact location of the paper jam through a video clip on the user interface screen. The video should show you which décor panel to open on the photocopier providing access to the paper jam with a demonstration on how to remove the paper jam.

There are ways to avoid and reduce paper jams occurring in the first place. Typical reasons why paper jams occur will occur is due to the incorrect loading of paper into the paper tray and poor originals or thicker, heavier paper media fed through the document feeder without making the necessary adjustments to the photocopier paper tray settings to account for these changes.

Persistent and frequent paper jams could mean a mechanical fault is the root cause of the paper jams, in this event, you should always contact your local service representative to carryout an assessment of the device and repair if required.

Changing the device settings

Changes to IP addresses and scan credentials are among the most common reasons the username and default password may be required, here’s a helpful list of manufacturers default username and passwords in case you need them;

Epson default Administrator username and password

The default username is “admin” and the password is default password is “access”

You can change or reset this on the “Workforce range” by following the below:

Select General Settings > System Administration > Security Settings > Admin Settings > Select Admin Password

Konica Minolta default Administrator username and password

The administrator password is set to 1234567812345678

It’s likely the password will be changed by your service provider so please contact them directly if this method proves to be unsuccessful

Sharp MX range default Administrator username and password

The default Sharp username is “Admin” and the password is “admin”

Canon default Administrator username and password

The default username is “Administrator” and the password is default password is 7654321

Ricoh default Administrator username and password

For the Web page admin it is username “admin” and password leave blank and you should be able to login. If logging in at the machine the username will still be admin and the password will be “password”. The password on a lot of Ricoh models are likely to have been changed to something more secure

Xerox default Administrator username and password

Username is “admin” and the default passcode is 1111

Samsung default Administrator username and password

The default User ID is “admin” and password is sec00000, but it can be changed from the default, note: The password might not be sec00000 if the an admin has set the password to something different, or if the printer is an older model (for older models, the defaul password is 1111)

Brother default Administrator username and password

User mode ->Username: user, Password: access

Admin mode ->Username: admin, Password: access
